These Terms and Conditions (“Terms”) form a legally binding agreement between the Unified Nations Council (“UNC,” “we,” “our,” “us”) and all applicants, delegates, and participants (“you,” “Participant,” “Delegate”) engaging in any UNC-organized event, program, or activity (“Event”).

By applying to, registering for, or participating in a UNC Event, you agree to comply with these Terms in full.

1. Registration & Fees

1.1 All applications are subject to UNC’s review and acceptance at its sole discretion.
1.2 A non-refundable Application Fee of USD $20 is mandatory for all categories and must be paid in full at the time of submission.
1.3 Payment of the Application Fee constitutes acknowledgement and acceptance of these Terms.
1.4 Applications submitted without the required fee will be considered incomplete and automatically rejected.

2. Refund & Voucher Policy

2.1 The USD $20 Application Fee is strictly non-refundable under all circumstances.
2.2 Fully Funded and Partially Funded Delegates are not eligible for refunds.
2.3 Self-Funded Delegates who cancel their participation are not entitled to monetary refunds. Instead:

• Refunds will only be issued as non-transferable digital vouchers, redeemable solely against designated future UNC programs.

• Vouchers may not be exchanged for cash, transferred, pledged, or combined with other offers.

• Redemption is subject to seat availability, pricing structures, and UNC approval.

• UNC reserves the exclusive right to determine which programs qualify for voucher redemption.

3. Voucher Redemption Conditions

3.1 Vouchers are valid for 12 months from the date of issue. After expiry, they hold no value.
3.2 Each voucher can be used only once; partial use or carry-forward balances are not permitted.
3.3 If the event fee exceeds the voucher value, the Participant must pay the difference.
3.4 UNC may impose blackout dates, quota limits, or category restrictions on voucher use.

4. Refund Timeline for Self-Funded Delegates

Requests must be submitted in writing via UNC’s official email with proof of payment.

• More than 30 days before the event: 70% as voucher, 30% retained.

• 20–30 days before the event: 50% as voucher, 50% retained.

• 10–20 days before the event: 30% as voucher, 70% retained.

• Less than 10 days before the event: No voucher/refund; 100% retained.

UNC reserves the right to reject any refund/voucher request if a Participant is found in violation of these Terms, event guidelines, or the UNC Code of Conduct.

5. Event Cancellation, Rescheduling & Force Majeure

5.1 UNC may amend, postpone, or cancel an Event due to force majeure circumstances, including pandemics, natural disasters, terrorism, regulatory restrictions, or supplier failures.
5.2 In such cases, remedies are limited to:

• Transfer of registration to a rescheduled date, or

• Issuance of vouchers for future participation.
  5.3 UNC is not liable for incidental or consequential losses, including travel, accommodation, or visa costs.

6. Participant Responsibilities

6.1 Delegates must secure valid travel documents, visas, and insurance.
6.2 Participants are fully responsible for travel, health, and personal expenses, unless explicitly covered by UNC.
6.3 Delegates must comply with UNC’s Code of Conduct, host country laws, and event rules. Breach may result in immediate termination without refund.
6.4 UNC is not responsible for loss, theft, or damage to personal belongings.
6.5 Participants engaging in misconduct, criminal activity, or disruptive behavior may be removed from the program and handed over to local authorities.

7. Liability & Indemnification

7.1 Participation is voluntary and at your own risk.
7.2 UNC shall not be held liable for illness, accidents, property loss, travel delays, or force majeure disruptions.
7.3 Participants agree to indemnify and hold UNC harmless against claims, damages, or liabilities arising from negligence, misconduct, or breach of these Terms.

8. Transfer & Substitution

8.1 Registrations are strictly non-transferable.
8.2 Substitutions are prohibited unless expressly authorized in writing by UNC.

9. Intellectual Property & Media Rights

9.1 All intellectual property, content, and materials shared during UNC Events remain the property of UNC or their respective authors.
9.2 Unauthorized reproduction, distribution, or commercialization is prohibited.
9.3 By attending, Participants grant UNC the right to photograph, record, and broadcast their participation. UNC retains perpetual, royalty-free, worldwide rights to use such media for promotional, educational, and archival purposes without compensation.

10. Privacy & Data Processing

10.1 UNC collects and processes participant data in line with its Privacy Policy.
10.2 By registering, Participants consent to international data transfers for operational and compliance purposes.
10.3 UNC may publish delegate names, photographs, and affiliations for promotional and reporting purposes.

11. Amendments

11.1 UNC may modify these Terms at any time without prior notice.
11.2 Continued participation after such modifications constitutes acceptance of the revised Terms.
11.3 UNC reserves full discretion over participant category upgrades, downgrades, or cancellations.

12. Governing Law & Dispute Resolution

12.1 These Terms are governed by applicable international and local law.
12.2 Any dispute shall be resolved exclusively through binding arbitration, conducted in English under the law of the host country.
12.3 Arbitration awards are final and enforceable.

13. Acceptance of Terms

By submitting an application, paying the registration fee, or attending any UNC Event, you confirm that you have read, understood, and accepted these Terms, including the non-refundable Application Fee, the voucher-only refund system, and UNC’s discretionary rights in managing participation.
